Community Business & Nonprofit Exhibitors

Monday, July 3, 2023, 5-10 p.m. at Clement Park (7306 W. Bowles Ave., Littleton 80123)

Red, White & You is a FREE patriotic, community event focusing on fun for the whole family!
Red, White & You is the largest free community event in South Jefferson County. Geared toward all ages and designed to bring the community together, attendance is estimated at 35,000+ annually. The event includes kids’ activities, live entertainment, food concessions, community business booths, beer & wine garden, and a fireworks display.

Application Guidelines

  • Exhibitors may distribute free information, promote their products and services, collect client information and offer pre-approved products for sale.
  • No food or beverage sales/giveaways are allowed.
  • Space is limited. Booths will be assigned on a first come, first served basis.
  • You must accurately describe your booth activities and items that will be promoted and/or sold.
  • Submitting an application does not constitute participation. All applications will be reviewed and then approved based booth activity and category fit as a family event.

Booth Information

  • Each community business exhibitor will be assigned a 10’ x 10’ booth on grass. Spaces are pre-assigned.
  • Exhibitors must provide and set-up their own tent/canopy, tables, chairs, etc.
  • NO generators allowed.
  • Tent weights are REQUIRED, tent stakes are prohibited.
  • All booth activities must be conducted within your 10’ x 10’ booth location. No roaming allowed.
  • We ask that your booth looks professional with quality signage and is of visually pleasing appearance.
  • Bring your own trash bags for your booth to assist with minimizing trash during the event.
  • Due to the size and scope of the event, no booth set-up assistance is available. You must set up your own booth and items in your booth.
  • Foothills Park & Recreation District is not responsible for damage or loss of exhibitor property. You are encouraged to have proper insurance.
  • Event is an outdoor event that will take place rain or shine. Please bring rain covers and tie downs for your booth.
  • If you will be giving away items from your booth, past attendance numbers report 7,000-12,000 located in the main hub of activity where booths are positioned. Exhibitors should prepare for 500-2,500 visitors to their booth with good weather.

Check In • Set Up • Tear Down

  • All community exhibitors should plan to set up their booth on Monday, July 3 from 2 – 4 p.m.  When you arrive, an event representative will check you in.
  • Due to recent park renovations and new park rules, ABSOLUTELY NO VEHICLES allowed on the grass!  You must come prepared to set-up and load in/load out your booth without vehicle access. Hand carts, dolleys and wagons are highly recommended!
  • Official event hours are 5 – 10 p.m. You are welcome to stay open post event while attendees are leaving.
  • Tear down can begin any time after dark (typically 9pm).  Be prepared with flashlights and lamps.
  • Merchandise left in your booth is at your own risk.

Community Exhibitor Fee

  • $300 per 10’ x 10’ booth space – business category
  • $100 per 10’ x 10’ booth space – nonprofit category 501(c)(3). Must provide copy of IRS Letter of Determination as proof of 501(c)(3) nonprofit status.

Selection Process & Payment

  • Applications must be submitted via the online form. Acceptable forms of payment include check and credit card.  Follow instructions on form.
  • Your application is considered complete and ready for review after booth fee has been received.
  • All applications will be reviewed for acceptance in the order they are received.
  • Accepted exhibitors will be notified by e-mail.
  • Space is limited. Booths will be assigned on a first come, first served basis.

Cancellation & Refund Policy

  • No refunds will be given due to inclement weather.
  • If you cancel on or before June 1, 2023, your booth fee will be returned less a $50 processing fee. If you cancel after June 1, 2023, refunds will be considered on a case-by-case basis.
  • If event organizer cancels the event for any reason, a full refund will be issued to exhibitor.

Sales Tax Information
Foothills Park & Recreation District staff cannot assist you with tax related questions. Exhibitors who sell merchandise are responsible for collecting and submitting the appropriate sales taxes to state and federal agencies.  For tax information contact the Colorado Department of Revenue at 303-238-7378.

Food Vendor Information

Due to space limitations and a desire to avoid menu over saturation, a limited number of food vendors will be accepted.  Submitting an application does not constitute participation.   All applications will be reviewed and approved based on food type and menu. 

FOOD COURTS!!
The main Red White & You food court will be located in the parking lot, adjacent to the core event area.  Food vendors in this area will have direct access to their booth space via their vehicles for set-up and tear down.  Those who operate as a food truck or trailer, or have trailered grills will be able to drive and park those items direct into their booths.  An additional snack area, with a very limited number of food vendor spaces, will be located on concrete sidewalks near the core event area.

Booth Information
Each food vendor will be assigned a booth – approximately 15’ x 15’ space.  The main parking lot Food Court is located on asphalt.  The other Snack Area is located on concrete sidewalk.  All spaces will be pre-assigned.  The sidewalk food vendor spaces will be assigned to those who have very simple operations and take up minimal space.
Food vendors are to provide their own booth and setup equipment, etc.  If you require generator use, you must order it in advance with this application.  Due to park renovations, Clement Park has established new park rules for special events.  NO VEHICLES WILL BE ALLOWED ON GRASS!  This will be strictly enforced from set-up to tear down.  We ask that your booth looks professional with quality signage (above 6’ off the ground) and is of visually pleasing appearance.  Come prepared for all types of weather.  This event is outdoors and will take place rain or shine.  Please bring rain covers and tie downs for your booth.

  • Approximately 1-2 weeks prior to event, an on-site meeting will be required with the Logistics Coordinator.  Meeting date TBD.
  • All food vendors should plan to set up their booth on Monday, July 3 from 12 – 3 p.m. 
  • Load-in times may be pre-assigned to maximize available space access.
  • When you arrive, an event representative will check you in.  Be prepared to serve food by 4 p.m. 
  • Official event hours are 5 – 10 p.m. You are welcome to stay open post event while attendees are leaving.

Important Food Vendor Information

  • Yes!  We encourage food vendors to sell SODA PRODUCTS AND WATER in addition to their food items. No alcoholic beverages may be sold by food vendors.
  • All food vendors need to provide all necessary items to prepare their food and serve it. This includes chafing dishes, cooking utensils, coolers, ICE, etc.  No cooking or storage facilities are available. You must also provide disposable plates, napkins, eating utensils and trash receptacles with liner bags.  Grey water and grease barrels will NOT be available, so plan accordingly and provide your own.
  • It is the food vendor’s responsibility to comply with required food permits and licensing through the Jefferson County Public Health Department.  Download Form 3610 at  https://www.jeffco.us/documentcenter/view/1755.   Be sure to contact Jefferson County for any revised and updated requirements to the food permit process.  You will not be allowed to set-up at the event without proper permits and licenses.  Jefferson County Health Department officials will be on-site and will inspect your food operation.  It is imperative that you have all the proper permits and be prepared for their inspection!   
  • No individual generators will be allowed. If you need electricity, there is additional cost.  Booth locations will be determined according to your power needs, so you MUST correctly specify your power needs on this application.
  • We ask that all Food Vendors provide a free meal to first responders who are working the eventIn previous years, 25-40 first responders are onsite during event hours. These first responders will present a meal ticket to you for redemption. Your generous donation is greatly appreciated!
  • No staking tents on the grass.  You must use tent weights – such as concrete blocks, water jugs, etc.
  • Food vendors need to provide a current certificate of insurance with liability limits of $1mm per claim and $2mm for all claims. Foothills Park & Recreation District must be listed as Additional Insured.  If you do not have insurance or have insurance-related questions, contact us.

Food Vendor & Generator Fee
Food Vendor fee is $525 for Main Entrée Food Vendors, $275 for Specialty Food Vendors (one type food product – i.e. ice cream only). Generator use is $150.  All fees must be included with this completed, signed application to be considered.

Know Before You Go

  • No canopy tents or large picnic umbrellas – if it can be staked into the ground, it is not allowed.
    • Small, personal shade devices like handheld umbrellas and small umbrellas that attach on a lawn chair are allowed.
  • No pets, please leave them at home for their safety and sanity.
  • No personal fireworks, No portable grills, No glass bottles.
  • No littering – Please use trash receptacles or carry your trash out.
  • No marijuana – Public consumption of marijuana is prohibited by Colorado State Law.
  • Red, White & You is a No Drone Zone – remote control devices are not permitted in Clement Park.

Parking Information

  • Parking is limited, carpooling is highly recommended.
  • Vehicles are only allowed on designated roads and to park in designated lots.
  • Handicap parking lots available.
  • When Clement Park parking lots are full, they will close (lots typically will fill up between 6-7 p.m.).
  • Due to space constraints, oversized vehicles like RV’s are asked not to park in Clement Park for this event.
  • No overnight parking or camping.

  • Parking is limited, carpooling or ride-share is highly recommended.
  • Do NOT park at the Columbine Library.
  • Handicap parking lots will be marked.
  • If you drop off anyone in the park for the event, you will NOT be able to drive back into the park until 11 p.m. Jefferson County Sheriff’s Office priority is to safely clear traffic out of Clement Park immediately following the end of the event.
  • No shuttle services provided.
